Delta Air Lines is offering a great opportunity for an exceptionally organized and proactive Administrative Assistant to join our South Florida team!

This Administrative Assistant will support the Managing Director, Latin America, Caribbean, and South Florida markets and is based in vibrant Miami, FL. If you possess proven administrative skills, aspire to work in a fast-paced and ambitious environment, and excel at balancing competing priorities, this position is tailored for you. We are seeking an individual with the organizational and leadership skills necessary to balance multiple assignments with limited direction while anticipating the business needs of the Managing Director and others, including Vice President level executives from inside and outside the company. This position works closely with our Sales and Events team along with our community and markets.

The ability to create, manage and maintain schedules, meetings and travel itineraries is very important to be successful in this role, along with fluency in both English and Spanish.

Responsibilities:

  • Exercise extensive calendar management for leader and resolve aggressive scheduling demands.

  • Organize domestic and international travel arrangements which includes flight reservations, hotels, etc.

  • Completes, submits and reconciles expense reports.

  • Greets visitors, receives telephone calls, and prepares responses to correspondence containing routine and sometimes complex inquiries.

  • Coordinate, manage and execute internal and external events for the South Florida organization, such as local partnerships, executive events, community partnerships, representing the interests of the Managing Director and in close coordination with external and internal stakeholders; inclusive of securing, hiring, managing, negotiating, and arranging vendor contracts and relationships.

  • Will support managing the Managing Director’s communication, including social media platforms such as LinkedIn, SkyHub, and Executive Hub and other local engagement initiatives involving external (B2B2C customers) and internals (ACS, IFS, other groups).

  • Assist with sourcing and securing marketing and sales promotional materials. Will have high exposure to corporate customers at C-level and manage vendor relationships.

  • Candidate will interact with internal employees (at all levels) and external customers, influencers, and government authorities and staff.

  • Day to day requires flexibility, a proactive approach, resourcefulness and efficiency in a fast-paced environment, often under pressure and should possess ability to act with limited guidance.

  • Act as a guide and information source on procedures, processes, and practices. Filing, documenting and preparing reports, presentations, org charts, memos, letters and other documents utilizing MS Word, Excel, PowerPoint, Outlook and Social Media platforms.

  • Performs an assortment of other duties as assigned to support both leadership and the operation.

  • Coordinate activities across multiple departments, working closely with other areas.

What you need to succeed (minimum qualifications)

  • Expert level written and verbal communication skills in both English and Spanish.

  • Strong decision-making ability and attention to detail are equally important.

  • Requires advanced computer skills in Microsoft Outlook and proficiency in Windows-based applications like Word, PowerPoint and Excel, and knowledge and experience with Social Media platforms.

  • Should have the communication skills necessary to screen and redirect calls as needed.

  • Interpersonal skills are necessary to greet visitors, customers, and business partners, and to inquire/exchange business information as applicable.

  • Strong attention to detail to ensure that information is accurate and correct, that documents are grammatically correct, and that work is completed in a timely manner.

  • Able to coordinate the schedules of multiple aspects of projects assigned by individual staff members or vendors.

  • Be open to working flexible hours and have schedule flexibility under short notice. Some work is performed during evening and weekends, for example planning and supporting execution and operation of events and hospitality opportunities.

  • Act with a high level of professionalism and confidentiality.

  • Apply safety-conscious behaviors in all operational processes and procedures.

  • Access to reliable transportation (Per expense policy, paid mileage will be offered when applicable).

  • Must be performing satisfactorily in current position.     

  • Consistently prioritizes safety and security of self, others, and personal data.

  • Embraces diverse people, thinking, and styles.

  • Possesses a high school diploma, GED, or high school equivalency.

  • Is at least 18 years of age and has authorization to work in the United States.
